Why should Enterprise Content Management be unfriendly?

The answer is pretty straightforward – they shouldn’t. But they are because most of them were first developed in the ‘90s, meaning that they are fundamentally constrained by that times’ technological limitations.

Tasklight isn’t, though

We believe in something different. We believe that, actually, most applications companies’ needs are simply a reshuffling of the same functionalities, using three basic building blocks:

  • Business Items: This is the stuff your Business works with, items about which you have data and documents. They can be clients, production batches, patients, loans, insurance policies, suppliers, returns…anything, virtually. In IT talk, these are nothing more than databases, where each customer is an entry. To you, as a user, they are forms.
  • Documents: This is the stuff where you hold qualitative information that is always related to one of the Business Items. It can be PDFs, docx, presentations even Excels or CAD files. They are contracts, invoices, brochures, stuff that carries knowledge which has to be in that particular format. These are uploaded and linked to Business Items and Tasks. Tasklight uses AI to mine them and make their content fully searchable.
  • Processes: This is work. It’s work broken down into multiple tasks that are systematically assigned to users according to your company’s procedures. They are rules according to which certain types of work must be done, the documents they require, the signatures, as well as the Business Items they must be related to.

That’s all.

Tasklight is easy to see and use

All of that is the system’s logic. But the user doesn’t have to know that. The system always shows the user just what they need to see. By default, it’s their pending tasks. They don’t have to know that they are part of a process, they don’t have to differentiate the Task forms from Business Item forms. The system limits and guides them through their work. And it forces them to perform it compliantly, to upload the right data and documents.

Tasklight makes everything searchable with AI

Yes. It looks into all documents, all Business Items, all Tasks, and mines the data, and makes it available through natural language search. You can simply search for what you’re looking, maybe a clause in a contract, and it’ll give you the right information, and where it found it.

Tasklight does everything in one language

The language of Business Items, Documents, and Processes. The language of a singular, intuitive interface. Why have a patient management system that is separate from your procurement system. Why not have Tasklight as a platform for all your Enterprise applications. All of them working by the same principles. Sounds wonderful, right?

Well it is.

So no, they don’t really have to be complicated and unfriendly

They need to be smart. Scalable. Easily adaptable. Tasklight comes with all Document Types and Business Items preconfigured. They’re there already, and you just choose which ones to use. And it’s even cooler than that.

With the base Tasklight license you gain access to what we call the De-Mailing task, where you have a generic task-type that mimicks email by having a subject, body, adding to it a deadline, assigned people, documents and attached Business Items. It’s basically a more traceable, more collaborative, easier to use email.

Because email is not for task work. Attachments are jerky, and tracking responsibility is virtually impossible.

And starting from the De-Mailing which can be used across the organisation, for any process, just as an improvement over your traditional email-way-of-working you can add any compliance process by activating applications.
