The De-Mailing Task
In its basic version, Tasklight comes with what we call the De-Mailing task. This is a type of task replicating email, but without all of its problems. It has a subject, a body, a place to add attachments. On top of that, it has a deadline, a person to allocate to, and a place where you can select the Business Items you want to relate it to (maybe it’s related to a supplier, or a contract, or a production batch).
Why we hate email for internal work (and you should too)
Think about email. Think about what it feels like to do collaborative work, task assignment, follow-ups, to fulfill procedures using email. It has three key issues:
- Attachments are isolated to the email. The moment you download one to make a modification, you add it as a new attachment to the other email. There’s no versioning, no collaboration, it’s ineffective.
- Nobody knows who’s in charge. With large email lists, many replies, and the eventual forward, it becomes impossible to understand who’s actually working on what in that process, who the task is assigned to. It’s impossible to audit it, to see who actually made the decision, there’s virtually no traceability.
- Forget the tasks! Literally. Forget them. Because email doesn’t remind you about them. Once you’ve opened your email it’s done, it’s gone. It doesn’t check whether you actually performed the action asked of you in that email.

If they wish to check out and edit the documents you’ve attached, they open them directly from the Task, centrally, and collaborate on them effectively, without local versions, and the system tracks everything.
If you are auditing the process, you can easily see who did what, where each decision was made, and how the final version of the task was reached.

Because Tasks are related to Business Items, and contain Documents, the system automatically builds a network of embeddings. This enables intelligent, natural language search through your employees’ work, and through the documents themselves. Just search and the system will deliver the information to you.
